Rookie and veteran meet directors can benefit from using a Swim Meet To Do List, or meet prep plan. Think about it, a list of pretty much everything needed to host a great swim meet. Included below are three different types of meet plans. One produces a small, short team meet. Another, a multi-team developmental meet. The third, a large regional championship swim meet.
Of course, every meet, and meet host, is different. Each list, or plan, will be most powerful if carefully reviewed and adapted to your specific meet. First, read through the entire list to get an idea of the “big picture.” Next, customize by crossing out what doesn’t apply and add any extras specific to your meet. You can also change the task assignment to specific meet areas.
Although every meet will vary, it’s easier to start with a basic list and then modify, instead of starting from scratch every time. Doing so:
- Helps make sure important tasks don’t slip through the cracks
- Promotes quicker planning
- Enables easier delegation
- Facilitates coordination where meet areas overlap
- Helps new meet directors work like pros!

Three Different Meet Prep Plans
These three vastly different meets were made by modifying the Swim Meet To Do List.
- “Prep” meet (One of the simplest meet formats. It trains beginning swimmers and parents in swim meet protocols and gives them the opportunity to practice.)
- High school dual, tri-team, or another type of developmental swim meet (Could also be used for summer league type meets)
- 2016 Western Zone Age Group Championships (A multi-day, prelims/finals, regional championship meet for about 700 swimmers)
