Swim Meet Equipment Manager Instructions

Here’s a list to help with delegation. Make sure you and your swim meet equipment manager are on the same page by reviewing an instruction page together. You’ll find sample instructions below in various formats.  Modify as needed. For more, see Swim Meet Equipment and Supplies Overview.

Swim Meet Equipment Manager Instructions

Before the Swim Meet Starts

  • Make sure all needed equipment, cables, software, hardware, etc. are in good working order, c.
  • Communicate any needs to meet director
  • Be at the facility in time to be set-up before warm-ups start

Day of the Swim Meet

  • Make sure backstroke flags are correctly installed and secure
  • Secure timing cables to deck and blocks as needed.  This should be completed at least 15 minutes before the beginning of warm-ups while the deck is dry
  • Set-up equipment and confirm all is working together 
  • Do a test start.  Confirm all buttons and pads are working.
  • Make sure touchpads are ready.  Be familiar with marked touchpads—know if some are more reliable than others
  • Know where the lap counters are

During the Meet

  • Stay in contact with timing system operator (close proximity to start end of pool would be good) and adjust pads as needed
  • Put lap counters out at the turn end of the pool prior to the beginning of any event 500 yards or longer.  (400 or longer if meet is at a short course meters pool.)
  • Make sure equipment needs are meet—keep notes of ways to help the meet equipment run smoother during future meets
  • AFTER EVERY SESSION (of a multi-session meet):  Plugin the starter(s) so it/they charge

After Meet

  • Make sure meet equipment is cleaned, put away and stored properly
  • Make sure any needed maintenance is done, or scheduled to be done
  • Pass along ideas to Meet Director of how to help future meets run more smoothly
